Your Role & Mission: To serve as the primary administrative and logistical cornerstone for the Shareholder and his family, acting as a trusted coordinator, gatekeeper, and executor. You will ensure absolute efficiency, privacy, and the highest standard of support across a dynamic spectrum of business and personal engagements worldwide.
Key Areas of Responsibility: Executive Office Management:
Full management of a complex Outlook calendar, scheduling, and prioritization for global business and personal commitments.
Professional preparation of documents, presentations, and correspondence using MS Office suite.
Seamless coordination of high-level video conferences (Zoom, MS Teams) and hybrid meetings.
General administrative and office support, acting as a central liaison.
Global Travel & Logistics Coordination:
End-to-end organization of extensive international and domestic travel (business & personal): flights, VIP services, accommodation, ground transportation.
Comprehensive visa support and preparation of all related documentation.
Planning and execution of sophisticated personal trips and corporate offsites without direct accompaniment.
Management of financial paperwork: invoices, receipts, insurance policies, expense reports.
Expert-level liaison with organizers of major international and Russian forums/conferences (registration, delegate coordination, preparatory materials).
Support in organizing and executing high-profile corporate and private events.
Confidential Family Office Support:
Discreet and efficient execution of personal tasks and errands for the Shareholder's family.
Maintaining the utmost confidentiality and professionalism in all private matters.
Candidate Profile & Requirements:
Experience: 3-5+ years of proven experience as a Personal/Executive Assistant to C-level executives or UHNWI, with a track record in a demanding, international environment.
Expertise: Direct, hands-on experience in all listed responsibility areas, particularly with complex international travel, visa processes, and high-stakes event coordination.
Education: Bachelor's degree.
Languages: Fluent English (written and spoken) is mandatory; proficiency in additional languages is a strong advantage.
Technical Skills: Advanced proficiency in MS Office (Outlook, Excel, PowerPoint, Word) and modern communication platforms.
